A job link from a completion email, opened in a different browser, a private window or on another device, used to show only “job not found”. It now explains that jobs are tied to the browser they ran in and offers Connect Xero: sign in with the same Xero login and the page opens with the job on it, audit file and exported files included.

Allocation now scans prepayments alongside credit notes and overpayments. If your business takes deposits before the invoice exists — clinics, events, memberships — those sit in Xero as prepayments, and until now BulkOps left them out. They are matched against the same contact's open invoices like any other credit, show a prepayment tag in the preview, and undo removes the allocation the same way. No new Xero permission is involved; if Xero declines the prepayment scan for an organisation, the preview says so and credit notes and overpayments still show in full.

Smaller fix: when a run is refused because it is larger than the free trial or your pass allows, the message now carries a link straight to the billing page instead of leaving you on a red sentence.

Also from today: each pass keeps one organisation connected. With two passes you can work on two organisations side by side — no need to disconnect one to connect the next. The free trial still holds one organisation at a time.

BulkOps is used for a big clean-up now and then, not every month — so it is now priced that way. The Starter and Pro monthly plans and the $49 Cleanup pass are gone. There is one thing to buy: a pass, US$29 one-off. It covers up to 1,000 executed items in one organisation, every feature (allocation, payment runs, attachment export, tracking archive), and gives you 72 hours after payment to start your jobs. A job that has started always runs to the end, even if Xero's daily request budget stretches it over a few days. Nothing renews, nothing to cancel.

The pass locks to the first organisation you run it on; another organisation needs its own pass, and the app tells you before anything runs. The free trial is now 10 executed items — previews stay free and unlimited, so check the result on real data first. Undo is always free and never counts against a pass. Passes add up in the same organisation (four passes = 4,000 items in one job); a whole practice of organisations is a quick email to support@microspear.app.

Two smaller changes: connections are now released after 3 idle hours instead of 24 (never while a job is running), and you can disconnect an organisation yourself from the app page to move on to the next one. Anyone with a running subscription keeps it, unchanged, until it ends.

BulkOps runs on a small pool of Xero connections, and a bulk job is something you run once in a while, not all day. So BulkOps now lets go of a connection on its own once it has been idle for 24 hours after your last job — on every plan, free or paid. Your job history, audit files and subscription stay exactly as they are.

When you come back, press Connect Xero again: Xero lets you tick all your organisations at once, so it takes a few seconds. Organisations with a job still running are always left alone until it finishes.

If your card is declined on a renewal, your subscription keeps working. Paddle retries the card over the following few days and emails you a receipt once it goes through. Nothing is switched off while that happens, and your plan only drops back to the free tier if the subscription is finally cancelled.

The Billing page now says so plainly instead of showing a plain “active” label that contradicted the email from Paddle. If your card has changed, you can update it from the payment link in your last receipt, or write to support@microspear.app and we will send you a direct link.

Cleanup pass — a one-off option for people who need BulkOps a few times a year rather than every month: US$49, one payment, up to 2,000 executed allocations across up to 5 organisations, valid 30 days, no subscription and nothing to cancel afterwards. Before you connect — a new page you see right before Xero's sign-in: what happens next, what BulkOps never does, how your access token is stored, and how to disconnect. It also points out that you can pick Xero's Demo Company to try everything on nothing real.

Homepage and app — a lighter, calmer design, a new logo, proper mobile navigation, and one consistent path for every plan: Billing first, Xero sign-in if you haven't connected yet, then checkout. Plan cards line up, and the pass sits alongside Free, Starter and Pro. Guides, this changelog and the legal pages now carry the same header and footer, so you can always get back to the product and plans.

Two new operations, both requested for years on Xero's idea board.

Payment runs with credit notes (Pro): pick the bills to pay, and BulkOps applies outstanding supplier credit notes first, then creates one Xero batch payment for the remainder — so each supplier's payment matches their statement. The run is undoable until the batch is reconciled. BulkOps never moves money; the batch goes to your bank the same way it always has.

Bulk attachment export (all plans): every file attached to your invoices, bills and credit notes in a date range, collected server-side and downloadable as one ZIP for 7 days. Read-only — nothing in Xero changes. Existing connections need a one-time reconnect to grant the extra read-only permission.

Published a set of guides on the manual processes BulkOps automates — written to be useful whether or not you use the product — and a data report from reading 654 ideas on Xero's product board: votes, age, and what Xero has said. The top 20 have been open for an average of seven years.

Also clarified plan limits: Pro covers up to 5 organisations, and larger practices can email us for a custom arrangement.

Our first large customer run — 1,402 allocations in one job — hit Xero's daily API limit partway through. That taught us a lesson, and this release is the result: when a job reaches a rate limit, it now pauses itself and resumes automatically once the limit resets. Nothing fails, nothing is lost, and there is nothing you need to do.

Large jobs also email you now — when they finish, and when they pause — so you can close the browser and get on with your day. Jobs have always run on our servers, not in your tab; now they tell you how they went.

BulkOps launched with three operations: bulk credit note allocation (scan unallocated credit notes and open invoices, propose matches, run them as one job), bulk overpayment allocation for the same flow on overpayments, and bulk tracking archive for clearing out old tracking options.

The rules that still define the product were there from day one: every operation shows a full preview before anything is written, every write is logged to an audit trail you can export as CSV, and every job can be undone with one click. Previews are free without limit, the first 25 executed items are free, and paid plans start at $19/month.
